Deadline for stand applications
Conditions and Registration for the Exhibition
The German Association of Automotive Industry (VDA), Berlin, will organize the trade exhibition at the VDA’s Technical Congress on 27th and 28th of February 2018.
2.1. Any firm or institution may exhibit that manufactures and/or sells products and services in the following fields:
Environment, Energy and Electric Mobility
Vehicle Safety and Electronics
for the automotive industry.
2.2. The organizer reserves the right to refuse exhibits, presentations and exhibitors.
2.3. The organizer shall inform the exhibitor in the week from (Date will follow soon)of the designated area of the stand.
Exhibits are limited to products, services and information from the thematic areas of "Environment, Energy”, "Electric Mobility" and "Vehicle Safety and Electronics” for the automotive industry.
4. Exhibition opening times
27th of February 2018 (9:00 a.m. to 6:30 p.m.)
28th of February 2018 (8:30 a.m. to 3:30 p.m.)
If the duration of the congress is altered, the duration of the exhibition shall be adapted accordingly.
5. Stand construction/dismantling periods
5.1. Construction: 26th of February 2018: 8:00 a.m. to 08:00 p.m. Stands must be completed latest at 08:00 pm, including cleaning.
5.2. Dismantling: 28th of February 2018 from 4:00 p.m. (or half hour after the congress finishes) to 10:00 p.m. at the same day. At 10:00 p.m. on 28th of February 2018 the stand must be completely cleared away and the stand area cleaned (see Section 8. Cleaning). It is not possible to store any exhibits or furniture after dismantling in the exhibition area.
6. Stand design
We will discuss the realization of your desired stand with you after the closing date for applications. Please discuss your requirements with:
6.1. Standard booth (organized by VDA)
Standard stand walls will be erected around the approved areas. The stand area will then be bounded only by the standard stand walls on its perimeter. Within this area, additional folding walls may be erected, posters may be attached to the walls, and exhibits may be put in position, etc. The exhibition areas are lighted and carpeted (colour on your own choice). Further stand furnishings can be ordered but must be paid separately. The maximum height of the construction is 2.5 m. The depth of the stands is 2.0 m up to max. 3.0 m.
6.2. Individual stand (organized by exhibitor)
You may also conduct the entire construction and dismantling of your stand using your own design. You must comply with all the applicable legal provisions and other requirements. Stands must be similar to those at a trade show, i.e. they should comprise rear and side walls. The use of folding walls only (for example) is not permitted. Stands must be constructed and dismantled without any damage to the building (e.g. nothing may be fastened to the building using screws). The maximum height of the construction is 2.5 m. The depth of the stands may vary from 2.0 m up to max. 3.0 m.

After the end of the event, the stand area must be swept clean and left in an undamaged state. Any residual adhesive or similar material shall be removed by the exhibitor.
Any damage on exhibits, stand, building, floor or other facilities arising in connection with the exhibition shall be settled directly with the aggrieved party.
The organizer does not accept any liability for the stand or the exhibits. Neither does it have insurance for either the stand construction or the exhibits. The organizer recommends exhibitors to take out their own insurance for their stand and the objects placed in/on it.
11. Costs (Stand incl. electricity)
The rental fee for the minimum required exhibition space (6 sq m) including two persons staffing the stand who may also attend the entire program of the congress including the evening event is €2,650.00 plus German VAT (costs for electricity are included). Each additional square meter of exhibition space will cost €150.00 plus German VAT.
After receipt of the application for a stand, the organizer will send an invoice to the exhibitor for the entire rental fee including the electricity connections. The amount invoiced is to be paid by bank transfer at the latest 14 days after receipt of the invoice, to the account indicated on the invoice; the bank transfer must be marked “Technischer Kongress 2018 – Ausstellung”.
Participation in the exhibition may be cancelled free of charge until January 12, 2018; notification of cancellation must be made in writing and received by the organizer by January 15, 2018. After this date, cancellation will incur a processing fee of 50% of the stand rental fee, which will be charged to the exhibitor. Cancellation after 1st of February 2018 will incur a fee of 100% of the stand rental fee.
There is a surveillance of the stands and exhibits during the opening time of the Hotel.
